We have an exciting opportunity for an Events and Marketing Coordinator to support the marketing department with events and marketing.
Main Duties
Events
• Plan and coordinate event logistics for all trade shows, exhibitions (excluding CEFLive / Golf Days which remain the responsibility of the Marketing Manager) ensuring the invites are sent out to team members working the show, literature is ordered & checked in a timely manner, merchandise is available and ordered from stock well ahead of the event, issue any Purchase Orders that may be required, updating the budget at all times. Coordinating with show event organisers, suppliers and ensuring that everyone is briefed well ahead of the events on set up, times of event, take down etc.. Ensuring anything returned from the shows is put back into stock, where necessary.
• Updating calendars, project management system and schedules for the events team
• Produce monthly personal reports on your own monthly activity, campaigns including the results of these. Reporting on your own personal activity and identifying your personal development.
• Assist with planning and communicating advertising schedules and additional marketing bookings, as necessary
• Manage banner inventory for event support via our project management system
o Ensure banners are up-to date with the latest artwork
o Liaise with Graphic designers, when necessary, when new artwork is required
o Order banners direct with supplier as & when needed ensuring PO is provided
o Coordinate sending our event banners when needed, coordinating the return of same and putting them back into stock
• Send out survey to all staff working events and ensure these are included in your monthly reports on event effectiveness, identifying and taking actions on areas for improvement. Required per individual event PLUS a summary when more that 1 of the same events eg ACEL x 6 events.
Merchandise
• Take responsibility for company Merchandise, checking stock each week & liaising with procurement when products need re-ordering
• Brief any artwork requirements into studio for new merchandise ensuring it meets brand guidelines and is approved by the Marketing Manager, Group Marketing Manager & Head of Design
• Create PIMs spreadsheet including creation of product codes, barcodes to Stage 1 to enable a PO to be raised by Procurement.
• Ensure merchandise appears in a timely manner on the online ordering system, when necessary
Marketing
• Ensuring content is kept up to date at all times including but not limited to, website pages, ScolmoreHub, Marketing hub, Voltimum
• Manage product launch uploads with support from wider team, where necessary
• Act as a brand guardian ensuring any marketing content is consistent in tone of voice, messaging and visual identity
• Attend and take part in regular department meetings for both online and offline marketing plans.
• Assist in researching & coming up with topic ideas for
o YouTube
o Podcast
o Social Media
o any additional channels where necessary
• Assist responsible team member with the day-to-day marketing stock reports
• Assist with monitoring the marketing inbox
• Assist with planning and implementing marketing campaigns – help developing online and offline marketing campaigns that will suit both B2B and B2C audiences.
o Campaign idea planning & implementation
o Budget creation
• Assist marketing department with the gathering of market and competitor analysis
• Undertake other tasks as reasonably directed from time to time to ensure the smooth running of the business
Essential Skills and Experience
• 3-5 years solid experience in events
• 3-5 years previous solid marketing experience in a similar role
• Excellent organisational skills and the ability to manage multiple priorities
• Excellent written and communication skills
• Ability to work closely with all departments and third parties
• Ability to work under pressure and to tight deadlines
• Strong attention to detail with a creative approach
• Strong Project Management skills
• Good knowledge of MS Office, including excel
Desirable Skills and Experience
• Diverse experience across online and offline marketing as well as in copy writing
• Marketing degree or CIM qualification
